Challenge
This group practice is one of the oldest dental practices in the Netherlands, founded in 1978. With 9 dentists, 4 dental hygienists, and multiple locations, the reception was structurally overwhelmed. During phone availability hours (8-9am and 1-2pm), wait times grew and calls were missed.
Solution
We implemented an automated system that lets patients schedule appointments themselves via WhatsApp and the website. Automatic reminders reduce no-shows. Routine questions about opening hours, fees, and emergencies are answered instantly.
Results
Phone traffic to reception dropped by 65%. Patients can now book appointments 24/7 online. The reception team can fully focus on patients in the practice. The no-show rate has significantly decreased thanks to automatic reminders.
